A clear four-step workflow

Site work in. Professional paperwork out.

Day Worksheet follows the job from the first entry on site to the document your customer receives.

How long does a job sheet take to create?

Most of the work happens while you are on site. You add hours, materials, equipment and photos as you go, then review the totals and produce the PDF in a couple of taps. Your business details and branding are set up once and reused on every document.

What you need before you start

Your business details

Name, address, contact details, logo and the colours you want on documents.

Your rates

The hourly rates you charge, so labour totals are right first time.

Your tax settings

Whether you charge VAT and whether CIS applies to the work you do.

A phone

iPhone or Android. Nothing to install on a computer, no office setup.

  1. Step 01

    Set up your business

Add your business details, logo and brand colours once in Business Profile. Every document you produce afterwards carries them.

    • Business name, address and contact details shown on every document
    • Your logo and brand colours applied to job sheets and invoices
    • Default hourly rates, VAT and CIS settings so totals calculate the way you work
    • Currency selection for the way you invoice

Time needed: Once, about ten minutes

  2. Step 02

    Record the job on site

Create the job sheet, add each operative with their hours and rate, then log the materials, equipment and quantities used. Add photos and descriptions while the work is in front of you.

    • Add several operatives, each with their own trade, rate and hours
    • Keep day work separate from priced work on the same job
    • Log materials and equipment with quantities as they are used
    • Attach photos of the work, the access and anything unexpected

Time needed: As you work — usually a few minutes across the visit

  3. Step 03

Check the totals and get it signed

Review the recorded hours, rates, quantities and job information before anything leaves your phone. The customer can sign against the completed work on site.

    • Labour, materials and equipment totalled from what you entered
    • VAT and CIS applied from your business profile settings
    • Electronic signature captured against the finished work
    • Nothing is sent until you are happy with it

Time needed: A minute before you leave site

  4. Step 04

    Send the record

Produce a job sheet PDF, or an invoice on a paid plan, and send or share it with the customer straight from the app.

    • Branded PDF job sheet ready to email or share
    • Invoice generated from the same job on Basic and Premium
    • Send from the phone before you have driven home
    • A copy stays on the device as your record of the visit

    Time needed: Two taps

Do I need a signal on site to record a job?

You record the job on your phone and the details are kept on the device. Sending the finished PDF to a customer needs a connection, so if you are working somewhere with no signal you can finish the record on site and send it once you are back in coverage.

What happens to the record after I send it?

The job sheet stays in the app as your record of the visit, with the photos, hours and materials attached to it. On Basic and Premium you can raise an invoice from the same job, so the figures on the invoice come from what was recorded on site rather than being retyped.
